Job Description

We are proud to support an Aberdeen based public sector organisation in the appointment of 4 x Lead Welcome Hub Assistants, who will be part of a team providing emergency temporary accommodation and support for displaced people fleeing Ukraine.

The purpose of this role is to oversee the delivery of a high-quality Welcome Hub service and to manage, support and develop direct reports, ensuring the team are motivated and focused. The post holder will play a key role in ensuring that customers are supported where required and access numerous support services in a manner appropriate for their needs. The post holder will be an excellent communicator, demonstrating empathy, rapport building skills and have a strong customer service ethos.

Location: Aberdeen City Centre
Working Hours: (Apply online only) Monday - Sunday (on a rota basis - guaranteed 37 hours per week)
Rate of pay: £13.94 per hour

The roles are for an initial period of 3 months, but may lead to 6 months

Key Duties and Responsibilities:

·Provision of an effective and high performing Welcome Hub service that responds to the needs of the customer and the organisation:
·Manage the welcome hub email account
·Liaise with organisations as required to ensure safe arrival
·Prepare for the welcoming and processing of new arrivals
·Welcome all of the new arrivals, advising of the process, meal times etc.
·Provide an induction to any new staff
·Provide a daily briefing at 0900 each day on the current status and actions for the day
·Ensure information for the day is published on the notice board
·Provide a daily Q&A for checked in guests
·Maintain welcome hub records, ensuring up to date and accurate for each individual
·Responsible for the safe keeping of funds for distribution as per process
·Ensure all completed COLSA form submissions allocating a case number and updating master spreadsheet to reflect the accommodation requests of the individual
·Determine any essential items required for the Welcome Hub
·Resolve any complex queries that arise
·Oversee departure process and recording
·Receive calls to Welcome Hub (not for clients)
·Open and close the building/hub daily
·Develop/update guidance as required
·Provide a daily handover
